About the Team
PPL’s Facilities team manages our 19,000sq ft open plan office in the heart of Soho. They ensure our offices run smoothly with everything from setting up events and meetings through to fixing lights and keeping our stationary stocked.
What You’ll Be Doing
As our Equity, Diversity, and Inclusion (EDI) Coordinator, you will play a key role in shaping a truly inclusive and supportive workplace culture. Reporting to the Senior EDI & Wellbeing Manager, you’ll work closely with the Senior EDI and Wellbeing Partner, as well as other stakeholders, to implement impactful EDI and Wellbeing initiatives. Your work will ensure that our strategic commitments align seamlessly with PPL’s overall business goals, enabling every employee to feel valued, empowered, and supported.
You’ll take the lead in delivering initiatives that promote equity, diversity, and inclusion across the organisation, helping to create a workplace where everyone can thrive. From organising workshops and events to monitoring progress against key objectives, your contributions will be central to fostering an inclusive environment.
As our Facilities Coordinator, you will ensure that our staff, tenants, and visitors experience a safe, comfortable, and professionally managed environment. Reporting to the Deputy Facilities Manager, you’ll work closely with the Facilities Manager and external contractors including security staff, cleaners, and engineers to deliver seamless services and maintain the high standards we are known for.
Your day-to-day duties will include providing reception cover, handling procurement and administrative tasks, and supporting Health & Safety compliance to create a space where everyone can perform at their best. Whether resolving issues, coordinating soft services, or making improvements to our workplace, your role will help us maintain a welcoming and efficient environment for all.
Key Responsibilities will include:
- Assist in the development and execution of PPL’s EDI and Wellbeing strategy, including organising workshops, events, and employee resource group activities.
- Keep the EDI and Wellbeing Hub, communications planner, and other internal platforms updated to ensure employees are informed and engaged.
- Track the progress of EDI and Wellbeing initiatives, gather feedback, and share insights with senior stakeholders to support continuous improvement.
- Conduct regular Health & Safety checks, ensuring the building remains safe for occupants and that any issues are promptly resolved.
- Assist in booking contractors and engineers, monitor their work, and maintain high service standards for building upkeep.
- Oversee room booking requests, ensure the reception area is welcoming and presentable, and manage passes for visitors, staff, and contractors.
- Support the planning and execution of events, ensuring spaces are set up and reset effectively, while collaborating with both internal and external stakeholders.
- Collect and analyse data related to EDI&W initiatives and facilities management, including compiling reports, managing spreadsheets, and tracking attendance for events.
What you’ll need:
- Demonstrated experience working in an office environment, with strong organisational skills and the ability to manage multiple initiatives simultaneously.
- Experience in planning and organising events, ensuring successful delivery and attention to detail.
- A genuine interest in fostering an inclusive workplace and supporting EDI initiatives.
- Basic knowledge of Health & Safety practices and a commitment to maintaining a safe working environment.
- Excellent written and verbal communication skills, with the ability to engage and influence a diverse range of stakeholders.
- A friendly, welcoming, and customer-focused attitude, with a drive to go the extra mile to achieve objectives.
- A proactive and motivated approach, with the ability to work collaboratively in a team or independently when required.
