Salary - Band 1 £29,500 - £31,000 depending on experience

Contract Type –TfL Fixed term for contract 6 months
Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.
Overview Of The Role
The purpose of this role is to provide support to Skills and Employment programme delivery, programme participants, Delivery Advisors and People Leaders ensuring the relevant information and resources are available for the efficient and organised running of day-to-day activities.
This will include responsibility for communications with our diverse internal and external stakeholders through mailbox management and co-ordinating activities to high standard ensuring a positive experience for all involved.
Key Accountabilities
- Supporting Delivery Advisors and Programme Managers with end-to-end delivery of Skills and Employment programmes. This may include the recruitment life-cycle of graduates, apprentices, interns, summer placements and employability programme participants.
- Manage logistics of Skills and Employment Programmes which may include maintaining programme delivery spaces, refreshments, resources, storage.
- Coordinate participant onboarding to Skills and Employment programmes.
- Administration support of large-scale events or activities such as corporate inductions, multiple careers events, programme delivery events and recruitment assessment centres.
- Management of mailboxes for participants on programmes, enquiries about Skills and Employment programmes and stakeholders.
- Provide excellent communication and customer service ensuring all programme participants feel welcomed and supported in every interaction.
- Generate payment and purchase orders on behalf of TfL to Skills and Employment programme suppliers.
- Processing programme participant and third-party suppliers with equipment / building access / uniform / digital user account access.
- Support in the management of databases and executing compliance of general data protection regulation (GDPR)
- Support the implementation of process improvements identified in delivery of cyclical programmes.
Skills
Skills, Knowledge and experience – all essential unless otherwise stated
- Data entry and maintenance, record and analyse information accurately
- Communication skills; written, verbal and numerical with a strong attention to detail.
- Ability to organise, plan and prioritise, adapt to changes, remaining flexible to changing priorities.
- Empathetic and non-judgmental approach to work - committing to working with the needs of programme participants at the centre of delivery.
- Proactive and takes initiative in every aspect of their work.
- Strong proficiency with Microsoft Office applications, including Excel
Knowledge
- Understanding of the full recruitment lifecycle
- Knowledge of information governance, General Data Protection Regulation
- Knowledge of diversity and inclusion best practice
- Knowledge of how to deliver against service level agreements and tracking performance
- Early Careers Recruitment Processes (Desirable)
Experience
- Providing administrative support to a team working to multiple priorities
- Problem solving and influencing key stakeholders
- Previous work in HR/ People departments and/or systems
- Continuously improving tasks and processes
- Experience of liaising with a range of internal and external stakeholders
- Working with confidential information in discrete manner with high attention to detail
